VOLUNTEER SIGN-UP PROCESS

The Volunteer Sign-Up timeframe for the upcoming season will be communicated via email in advance of volunteer slots going live on the website. Selections are done so on a first come, first served basis. It is expected that each family will be responsible for 4 volunteer slots but will be confirmed once we know the total number of Marlins Swim Families participating in the upcoming swim season. Please reach out to macaulaymarlinsvolunteer@gmail.com if you have any questions about specific roles or volunteer questions.

Volunteer Deposit Hold

As you know, parent volunteers are critical to the success of the summer swim season. All swim team families are required to provide a credit card during registration or write a check for $250. The card will be charged or the check will be cashed ONLY in the event that your volunteer obligations are not met. Volunteering is not optional, and can actually be fun! It's a great way to meet neighbors, watch your swimmer up close or just give back to our community. Each family is needed in order to run a successful swim meet and season. The volunteer deposit is not meant as a "buy out" of volunteer obligations. It is meant to hold families accountable for their volunteer obligation. There are no exceptions. Each family will need to volunteer in order to participate.

FAMILY DESIGNATIONS:

Speedy Meet Only Families - If the only swimmer in your family is a speedy meet swimmer (8 and under), please volunteer for a minimum of TWO speedy meets. The other two volunteer slots can be made up of other non-regulation team events (team parties, time trials, Ribbon Tagging, etc.).

Speedy Meet + Regulation Meet Families - Families with both speedy and regulation swimmers will need to select their four volunteer slots from the regulation meets only. (Please do not sign up for speedy meets).

Regulation Meet Only Swim Families - If the only swimmer in your family is a regulation meet swimmer, please sign up for your four volunteer slots at regulation meets only. (Please do not sign up for speedy meets).

HOW TO SIGN UP FOR VOLUNTEER SLOTS:

1. Log in at https://macaulaymarlins.swimtopia.com

2. Click on the ‘Schedule’ tab in the Navigation

3. Look for the green ‘job sign up’ icon next to each available date (visible when registration is live)

4. Be sure to scroll to the next page to find all available events with volunteer slots.

SAMPLE VOLUNTEER POSITIONS

Lane Timers 

The timers check to be sure the dolphin timer begins when the announcer starts the race and is responsible for stopping the timer as the swimmer touches the wall at the conclusion of the race. If there is a timer malfunction, the timer must raise hand to notify meet officials/starter immediately. Must be aware of the event and will transition to opposite end of the pool for 25 meter/yard races. There will be 2 timers per lane (one from each team). The first half timer will ensure the second half timer is in place prior to leaving post. All timers should be present for the timer meeting hosted pre-meet at 5:40 pm. The second half timer is responsible for returning the dolphin timer to the computer technology volunteer prior to leaving the pool deck. 

Head Timer 

Starts two stop watches at the beginning of each heat in order to provide a backup timer in the event a dolphin timer malfunctions. Timer one will be stopped when the first swimmer completes the race and timer two will be stopped when the last timer completes the race and those times may need to be documented. 

Clerk of Course

The Clerk of Course volunteers are responsible for getting the swimmers seated by event, heat and lane on the clerk of course benches/chairs and then sending each heat to the blocks immediately upon the start of the previous heat. They will be provided with a list of all swimmers, in all events, in the order in which they swim. The home team typically takes the lead in this position, but works closely with the visiting team to integrate all swimmers into the staging benches to ensure swimmers are at the block at the appropriate time for their race. 

For 10 and under relays the clerk of course (with the help of child gatherers) ensures that both ends of the relays teams are placed correctly, 1& 3 at the head of the pool and 2 & 4 at the far end. 

Clerks for 1st and 2nd half should be on deck for the pre-meet meeting at 5:40 pm. The Clerks start lining up the swimmers for the first relays before the meet starts. Makes sure gathering and staging area is cleaned up at the end of the meet.

Child Gatherers

The Child Gatherers assist the Clerk of Course by gathering the swimmers for the upcoming events. They need to have the swimmers to the Clerk at least 4 events prior to their event. They will be provided with a list of all swimmers, in all events, in the order in which they swim. One gatherer should be responsible to flip the event boards in the gathering area, letting everyone know which event is being gathered. Assist with cleaning up gathering and staging area throughout the meet and at the end of the night. 

Meet Runner / Alternate 

Responsible for collecting DQ slips from stroke & turn judges and delivering to the meet official. Also delivers water to volunteers and relieves volunteers for bathroom breaks. May be asked to assist in an alternate role if needed during the meet. 

Heat Ribbon Runner

Watches each race to determine who touches the wall first, then gives that swimmer a heat ribbon. (10 & under individual events only, not relays)

Tuesday Tagging Team  

The Tuesday Tagging Team is reserved for Speedy Swimmer Families and consists of a few volunteers who will take printed labels from the computer scorer/previous regulation meet and stick them to the back of the proper "place" ribbon. The ribbons are then filed into file folder boxes per swimmer. This volunteer position takes place during the designated practice time until all labels have been completed and all ribbons have been filed. 

Concessions Volunteer

Assists in the concessions area during the meet to sell and serve food, snacks and beverages. Will need to help with set-up upon arrival and clean-up prior to leaving depending on what shift you are signed up for. 

Stroke & Turn Judge

Monitors proper starts, arm and leg motions, turns and wall touches in accordance with the stroke and turn training and will document disqualifications on a DQ sheet as necessary. DQ sheets are collected throughout the meet by the runner and provided to the meet official for sign-off. 

This position requires an online training/certification course that you can complete at your leisure which is valid for two years. All stroke & turn judges will need to have a valid certification for this position (online course access provided by the Marlins). Certification process/Training course will earn your family 1 volunteer point upon completion.

Volunteer Check-in 

Responsible for checking in volunteers, distributing name tags and communicating pre-meet meetings and volunteer role information at home and away meets. Will need to be ready to check in by 5:30 PM and will remain on the pool deck through the second half to ensure that volunteers are in place at the shift transition. May be needed to help out in various positions (i.e. child gatherer or clerk of course) at the onset of the meet if necessary. 

Meet Set-up and Take-Down

Arrive on time at 4:30 PM to set up no-parking signs, meet signage and equipment as directed by the Equipment Coordinator. Also helps with setting up concessions. Help to clean-up and break down the swim meet at the end of the night.

Computer Assistant 

Assist home team computer technology coordinator on the pool deck with monitoring races throughout the meet, printing heat sheets, printing of labels post-meet, and communication of results.

Starter/Announcer  

The Starter/Announcer will be responsible for starting each race and making any announcements that need to be made throughout the meet. Will need to work closely with computer technology coordinator to ensure meet is flowing as expected. At the end of the meet, starter will pack up starter kit and hand it off to the equipment coordinator. Experience required, please contact board if interested in this role. 

Assistant to Starter/Announcer

Assists starter as they cannot leave their post for the entire meet. Manages event number board for events on the blocks. Helps starter pack up starter kit and cleans up starter area.

Social Events

There are several social events that will take place throughout the season and helping hands are needed to assist with the execution of these events. Roles can vary and will be outlined in the volunteer sign up, but could include setting up tables in the clubhouse to serving food at a team event.

How do I know what Volunteer Slots I have registered for?

While logged into the Marlins Swimtopia site, click on the Welcome <name> at the top right of the page. Click on "My Account" from the navigation in this drop-down section. Once the "My Account" page loads, you will see the volunteer slots that your family is registered for and required to fulfill.

You can also see your volunteer slots when scrolling through the individual events in the "schedule" section of the website.

**REMEMBER**

If you have a volunteer conflict during the season, it is your responsibility to find someone to cover your shift. Once the replacement volunteer is identified, please send an email to [email protected] outlining the changes.
